OCC & PaySimple: How To Reconcile Deposits

Easily reconcile your deposits using the PaySimple Reports tool.

In order to identify PaySimple deposits in your bank account, you can look for the following descriptors based on the payment type and processor. You can find out who your processors are here.

Using Transaction Reports

You can use Today’s Deposits report to view what you can expect to receive in your bank account for a given time period. 

To access this report, click on Reports Transactions Today’s Deposits

You can access the Today's Deposits report by clicking on Reports, Transactions, Today's Deposits


This report defaults to all transactions with a Status of either ChargebackPostedRefundedReturnedReturned (NSF), or Settled with the Estimated Deposit Date of Today

On the default view, you can view the total amount you expect to see in your bank account at the bottom of the report. ACH transactions with a Returned Status will be visible on this report to help you determine which customer payments were not successfully funded. Only transactions with a Settled Date will be deposited into your account.

Daily Reconciliation

The best way to reconcile deposits from your credit card or ACH processor is on a daily basis. This will allow you to identify the customer payments that make up the deposits you receive each time you receive a deposit. If you accept both credit card and ACH payments, you will want to reconcile deposits for each payment type separately. Follow the steps below for daily deposit reconciliation:

  1. Click Reports 
  2. Select Transactions 
  3. Select Today’s Deposits report
  4. If you are looking for a deposit received on any day other than today, change the Date Range to the day you received the deposit.
    1. For example, if you received a $100 deposit from your credit card processor on May 1st, update the date range to May 1st in both fields
To change the date range of the report, fill in the date you expect the funds to deposit into your bank account in the to box and from box
  1. Add Transaction Method and select Credit Card
    1. If you accept credit card and ACH payments, you’ll want to repeat the steps for each payment type because you receive separate deposits for your credit card and ACH transactions.
  2. The total amount will appear on the bottom of the report
  3. This amount should match the deposit you received in your account
  4. Save this report to easily run each time you want to reconcile. Be sure to save a credit card and ACH version

Monthly Reconciliation

Follow the steps below to match your monthly credit card transactions to your monthly credit card processing statement:

  1. Click Reports 
  2. Select Transactions 
  3. Select Today’s Deposits report
  4. Remove the Estimated Deposit Date default filter
  5. Click the +Filter button 
  6. Add Submitted for Settlement Date as a filter
  7. Add Transaction Method, and select Credit Card
  8. Change the Date Range to include one day prior to the first day of the previous month, all the way through the last day of the previous month. 
    1. For example, if you want to reconcile all of your deposits from May, select the date range April 30-May 31
  9. View the total amount at the bottom of the report
  10. This amount should match the processing total on your credit card statement
