Payments processed with PaySimple are synced with QuickBooks Online in real-time. No waiting for 15-minute increments or until the next morning to see your PaySimple Transactions in QuickBooks Online.
The Basics
- Only transactions created after the integration has been enabled will sync to QuickBooks Online. Historical payments will not be synced.
- The sync is one way. Payment data will only sync from PaySimple to QuickBooks Online.
- Transactions that sync to QuickBooks Online integration be tied to your linked Customer.
Payment Syncing Behaviors
Settled Transactions
- Payments will not be synced to QuickBooks until they Settle. Read more about funding time for Credit Card and ACH payments.
- If a payment does not settle (i.e. it returns or fails), then a transaction will not be synced to QuickBooks Online.
Refunds
- If a payment is refunded in PaySimple that has previously been synced to QuickBooks Online, PaySimple will do two things to help keep your records accurate:

- Delete the original transaction in QuickBooks Online
- Create a Refund Receipt in QuickBooks Online
- If you refund a payment that was settled prior to enabling the integration, then no syncing will occur
Chargebacks
- At this time, if a payment is Chargedback by your customer, that data will not sync to QuickBooks Online. You will need to manually reconcile these transactions.
Reviewing Sync History
- To confirm a payment has synced successfully, go to the App Center and select Manage in the QuickBooks Online box.
- On the Overview tab, you can review transactions that have been succesfully synced.
- Click the Action button on the right side to View Sync Details or View in QuickBooks Online.
